  • chevron_rightHow do I Register / LogIn to this website?
    If you are a member of the Covington Place HOA you may register to this webpage.
    If this is your first time, you must Register.  Here is how:
         1. Click on "Register" in the upper right corner of the Home Page
         2. Enter your name, email address, property address and other information
                    - Information fields with a red asterisk are required
         3. Select "Yes" under Directory Preference if you would like to be listed in the Resident Directory 
         4. Enter the supplied Verification Code
         5. Click "Continue" to submit your information
         6. You will receive an email from the Webpage Administrator notifying you that you have been approved.
             Once you have received approval you may log into the webpage.
         7. Click on the link supplied in the email after "Reset Password"  - this will take you to the login screen
         8. Login using the username (your email) supplied
         9. Enter a password you can remember then re-enter it to confirm your password 
        10. Click Submit 
     
    Once you have registered and have setup your password, you will LogIn:
         1. Click on "LogIn" in the upper right corner of the Home Page
         2. Enter your UserName and Password
         3. Submit
  • chevron_rightWhat is the Covington Place Home Owners Association (HOA)?
    The Covington Place HOA is a non-profit entity managed by a duly elected Board of Directors. Its purpose is to maintain all common areas and to govern the community in accordance with the provision of the legal documents: Declaration of Covenants, Conditions and Restrictions (CC&Rs), and Bylaws. The governing legal documents for the association may be viewed under the Documents menu on this site.  The Association is financially supported by all members of the community association. Membership is both automatic and mandatory. If you are a Covington Place property owner, you are automatically a member of the Covington Place Homeowners Association. You are obligated to pay monthly dues to the HOA, delinquency in making payments results in additional cost to the HOA, and could ultimately result in having a lien filed against your property. You are encouraged to use automatic bank draft to pay your dues regularly and timely.

  • chevron_rightWhat are the CC&Rs?
    The Declaration of Covenants, Conditions and Restrictions (CC&Rs) are the governing legal documents that set up the guidelines for the operation of the planned community as a non-profit entity. The CC&Rs are recorded by the Orange County records office. Failure to abide by the CC&Rs may result in a fine to a homeowner by the Association.The CC&Rs document for the Association may be viewed under the Documents menu on this site.  
     
  • chevron_rightWhat are the Bylaws?
    The Bylaws are the guidelines for the operation of the Association. The Bylaws define the duties of the various offices of the Board of Directors, the terms of the Directors, the membership's voting rights, required meetings and notices of meetings, as well as other specific items that are necessary to run the Association as a business. The Bylaws for the Association may be viewed under the Documents menu on this site.

    The monthly HOA fee is $44 per month, or $528 annually.

    Please contact TRAC Management to receive your Payment Coupon Book. The book provides detailed instructions about setting up your preferred payment method including auto pay, online bill pay services, making payments at the bank or mailing in your check.

  • chevron_rightWhat if I do not pay my monthly dues to the HOA?
    The maintenance and management services incurred by the Association are dependent upon timely receipt of the assessments due from each homeowner. Late payments will result in a late charge as assessments are due on the first of the month. In addition, the CC&Rs allows the Association to proceed with a lien on your property, or foreclosure proceeding for nonpayment of assessments.
  • chevron_rightWhat happens when an account goes into collections?
    When all means of collecting delinquent amounts have been exhausted, (e.g. sending manual invoices each month, and sending a final 15-day demand, when there is no response or payment plan in place), the account is turned over to a collection legal firm.  When an account is turned over, all communications would be between the debtor and collection agent.  If the debtor wants to arrange for a payment plan, it is submitted for approval by legal.  If no action is effected by the debtor, the legal firm will follow the steps in their collection process, which is 15-day demand, lien, intent to foreclose, and finally foreclosure.   
    If owner sells the property, the HOA is protected as all claims have to be satisfied for the new buyer to get a clean deed.
     
  • chevron_rightWhat is the Board of Directors?
    The Association is a non-profit corporation and therefore a governing body is required to oversee its business. A board of five directors is elected by the homeowners, or as otherwise specified in the bylaws. The limitation and restrictions of the powers of the Board of Directors is outlined in the governing documents found under the Documents menu on this site.
  • chevron_rightWhat's the skinny on Community Mailboxes?
    Community Mailboxes:
     
    Each household gets a key to its individual locked mailbox.
    The larger shared boxes are for parcels. If you receive a package, the key to open the parcels box will be dropped into your own locked mailbox. This is a more convenient way to deliver packages than leaving them on your porch while you are away, or leaving a note and requiring you to visit the post office. Keep in mind that these are SHARED parcel boxes, if you know you will be receiving a package, please pick up your parcel promptly.
     
    It is against Postal Service policy to deliver mail to unlocked or unsecured mailboxes. If your mailbox is unsecured, delivery service may be suspended until your box is repaired. In the meantime, you can pick up your mail at the Chapel Hill Post Office.
     
    If you lose a key or need a lock replaced, please contact the Chapel Hill Post Office to resolve these issues.
